WEDNESDAY, FEBRUARY 28, 2024

IMPORTANT CLARIFICATION FOR UNLOADING AND SETUP

  • We will have one staff member with one golf cart at each unloading zone on Saturday morning.
  • It is the vendor’s responsibility to ensure they have the ability to get their gear from the curb to their booth space.
  • Staff members are not responsible for getting your gear to your booth space. They can offer assistance for heavy items that need to be placed onto the golf cart and driven to your spot. 
  • Staff members are not allowed to lift items over 25 pounds and are not permitted to carry your items to your booth space. 
  • Vendors should be prepared with their own moving dollies or carts to transport their gear from the curb to their spot.
  • If you need help from a staff member and golf cart for a heavy item you can request assistance at the curb.
  • Vendors are not permitted to drive the golf carts.
  • We will be doing our best to move 100+ vendors into the park as quickly and smoothly as possible.
  • We greatly appreciate your patience, respect and positive attitude all throughout the weekend!

Thank you being a part of Awakening Festival 2024 on March 2nd & March 3rd!

 

If you couldn’t make it to the vendor meeting please be aware of the following important information that was discussed.

As always, please be familiar with the Vendor Guidelines – this document outlines important details about your participation, including booth requirements, tent weights (ALWAYS required!!), weather impacts, etc. CLICK HERE FOR THE VENDOR GUIDELINES.

AND please remember that rain or shine, our show goes on. Florida weather changes on a dime so we hope you’ll join us in holding the faith for a beautiful sunny weekend, as usual. IF dangerous conditions arise we’ll send another update on Friday, March 1st.

Festival Times

SATURDAY, MARCH 2ND

Vendor Market 10am – 5pm

After-Hours Special Event – Drum Circle & Ecstatic Dance 5pm-9pm

Vendors have the option to stay open until 9pm for Saturday evening’s activities but it is NOT required. You may close your booth as usual at 5pm on Saturday. The park stays very well lit by the lights in the trees as well as light posts throughout the park. If you choose to stay open and you want to bring lights for you booth we highly recommend bringing a portable battery to plug into. 

SUNDAY, MARCH 3RD

Vendor Market 10am – 5pm

Please do not begin breaking down your booth before 4:30pm.

Setup Times

FRIDAY AFTER 4PM – you may begin setting up your booths after 4pm on Friday. PLEASE BE AWARE you are on your own on Friday – there are no special parking areas or unloading zones in place and we do not have staff or golf carts to help you move your items.  

DRIVING VEHICLES INTO THE PARK IS STRICTLY PROHIBITED BY THE CITY – PLEASE DO NOT VIOLATE THIS RULE UNLESS YOU WANT TO BE REMOVED FROM THE FESTIVAL.

Booth numbers will be marked on the sidewalk in front of all spaces. Please make sure you setup in the correct spot – if there’s an issue with your tent placement it will need to be moved.

All booths should open TOWARDS the sidewalk!!

SATURDAY 6AM-9AM – Unloading zone details below. All vendors must be setup by 9am.

Generators are NOT ALLOWED inside the festival (no exceptions).

Overnight Security

Security will be provided overnight on Friday and Saturday. You may leave your tent/table/chairs in place overnight, however, you are encouraged to remove anything of value from your exhibit area prior to leaving for the night on Saturday. 

 

Awakening Into The Sun, its staff and the City of St. Petersburg are not responsible for lost, damaged or stolen items left overnight, nor are they responsible for losses experienced by vendors due to inclement weather, guest/vendor negligence, theft or loss during the event. Vendors are fully responsible for their own personal property and should have proper business insurance in place.

Saturday Morning Unloading Zone

Bayshore Drive will be closed to thru traffic from 7am – 9am to allow vendors full use of the road for unloading. The earlier you arrive the easier your experience will be. It gets pretty busy downtown and parking starts filling up early.

Please enter the unloading zone from 5th Avenue, across from The Vinoy Hotel, and follow the directions of the staff member who greets you. He will show you which zone you should be unloading at.

 

When you pull up to the curb please unload your items onto the grassy area as quickly as possible so that the unloading process goes smoothly for everyone.

Sunday Evening Loading Zone

The same process will apply on Sunday evening during breakdown. The Unloading zone becomes the Loading zone. Bayshore Dr. will be closed from 4:30pm until 6:30pm to give vendors the opportunity to load out. 


ALL YOUR ITEMS SHOULD BE BROUGHT TO THE CURB BEFORE BRINGING YOUR VEHICLE TO THE LOADING ZONE.


A shuttle will be making trips back and forth to the North Shore parking lot to help vendors get their vehicles on Sunday afternoon. Enter Bayshore Dr. from 5th Avenue and exit onto 2nd Ave.


PLEASE BE CONSIDERATE OF YOUR FELLOW VENDORS – EVERYONE IS TIRED ON SUNDAY AND WANTS TO GO HOME JUST AS MUCH AS YOU DO.

Parking

YOU MAY NOT PARK ON BAYSHORE DRIVE AT ANY TIME DURING THE FESTIVAL OR YOUR VEHICLE WILL BE TOWED.

If you need handicap parking please contact us for instructions.

 

After unloading your vehicle, please follow the flow of traffic south on Bayshore Dr. to 2nd Ave. Turn right on 2nd Ave. and then turn right onto Beach Dr. Follow Beach Dr. to 7th Ave NE and turn right. The North Shore Complex parking lot will be ahead on your left. We will have a golf cart shuttle making trips back and forth to the North Shore parking lot during vendor unload to help everyone get back to the park quickly.

Booth Placements

We will not be extending as far South as we have in the past and all yoga classes will happen in the southern section of the park’s middle grassy field (shown on the map below). 

 

EARLY BIRD VENDORS (registered prior to June 2023) – if you requested the same spot as 2023 but the spot you had in 2023 has been removed, you’ve been placed in an equally advantageous spot in a new location. Please email us if you have any concerns.

 

Please know that we do our best to place you according to your preference in addition to a multitude of other factors like product category, registration date, electric needs, handicap access, etc. If you feel like we made a mistake please send us an email so we can resolve it.

Electric spots are circled in blue on the map. If you paid for an electric spot and your booth number isn’t circled, please send us an email.
